Details of the Request


  1. Total Number of Bookings per job type is doctors, nurses, admin etc for each month both permanent and on temp basis.
  2. Total Cost for temp staff per job type ie doctors, nurses admin paid to Agencies.
  3. Total paid for each agency for each job type, ie doctors, nurses etc.
  4. Number of staff employed by the Trust to manage the allocation of temp staff supplied by the agencies and the total cost of staff for each section.
  5. Type of software used to manage temp & permanent job vacancies and/ or staff within wards/depts.?
  6. Please split down to both temp and permanent staff numbers.
  7. Who provided the software?
  8. How much did it the software initially cost?
  9. Please give a fully break-down of costs.
  10. Costs associated with the software, in terms on purchase of software, training, monthly maintenance, for each user license and any other costs associated with each software.
  11. What Service Level Agreement (SLA) is in place with the software provider and when is it renewed?

Thank you for your request to Ashford and St. Peter's Hospitals NHS Trust regarding Agency Staff Supplied and Rostering Software.

The following response has been collated by the Trust's Head of Workforce Intelligence.

Can you please give me a full breakdown of Temporary Agency Staff Supplied & Rostering Software over the last 24 Months, on a month by month basis
  1. Total Number of Bookings per job type is doctors, nurses, admin etc for each month both permanent and on temp basis

  3. Total paid for each agency for each job type, ie doctors, nurses etc

    Job vacancies advertised on NHS jobs, candidates processed in ESR (Electronic Staff Record).

    HealthRoster software used to book temporary staff and for rostering substantive nursing & midwifery staff

    NHS Jobs provided by NHS Employers

    ESR provided by McKesson software via NHS

    HealthRoster provided by Allocate Software plc
     
  7. How much did it the software initially cost?

    Exempt under Section 43 of the FOI Act as it relates to commercially sensitive information and could result in Breach of confidence with the supplier

    SLA as part of contract. To be renewed November 2010
     
  11. Who is responsible for Purchased of new Software in each dept or Trust?

    Purchase of software is led by a senior member of each department, working closely with IT, Procurement and stakeholders/users of the proposed software. A Business case would usually be approved at Trust board level.
     
  12. What Wards/Dept uses software to manage staff rotas and which do not use any software to manage rotas?

    Healthroster software is used to manage staff rotas for all nursing & midwifery staff.
     
  13. Total number of staff that is required to manage per ward/dept?

    Use of the rostering software is an integral part of ward manager’s role. There are no staff dedicated to rostering alone.
     
  14. Is it the software compatible with your payroll and ESR systems?

    Yes
     
  15. What type of Payroll Systems is being used?

    Electronic Staff Record (ESR)
     
  16. Total number of payroll in payroll?

    7.7 Whole time equivalent
